The information provided during the application for admission process includes, but is not limited to, personal identification, contact information, and academic background.

This information is essential for our admissions process and for providing you with the best possible educational experience.

A. Collection of Personal Data

The Colegio De Montalban is committed to collecting personal data in a professional and responsible manner. We collect personal data that include those provided by you during the application for admission process, as well as information that is acquired or generated upon enrolment and during the course of your stay with us.

Information provided during the application for the admission process:

Upon application for admission, we collect various types of personal data including, but not limited to, personal identification, contact information, family history, previous schools attended, academic performance, disciplinary record, and medical record. All the information provided during the application for admission process is crucial for our admissions process and for ensuring that we provide you with the best possible educational experience.

Information acquired or generated during enrolment and course of stay:

Upon enrolment and throughout the course of your stay with us, we collect information related to your academic and curricular undertakings, including the classes you enroll in, scholastic performance, attendance record, medical record, co-curricular matters, such as outreach activities, extra-curricular activities, such as membership in student organizations, leadership positions, participation and attendance in seminars, competitions, and programs. Additionally, we may collect information in connection with any disciplinary incidents, including accompanying sanctions that you may be involved in. We assure you that all personal data collected will be treated with strict confidentiality and will only be used for the purposes outlined in our Data Privacy Policy."

B. Access to Information

The Colegio De Montalban ensures that access to personal information is limited to authorized personnel, specifically the Registrat Office, Management Information System Office, and Office of Student Services, who have a legitimate need for it in order to carry out their designated responsibilities. We use and share your information in accordance with legal requirements and to pursue our legitimate interests as an educational institution, for a variety of academic, administrative, historical, and statistical purposes.

Examples of when we may use your information to pursue our legitimate interests as an educational institution include:

· Evaluating applications for admission to the Colegio De Montalban;

· Processing confirmation of incoming and transfer students for enrollment;

· Recording, generating and maintaining student records of academic, co-curricular, and extra-curricular progress;

· Establishing and maintaining student information systems;

· Sharing grades with faculty members and others with a legitimate official need for academic evaluations;

· Processing scholarship applications, grants, and other forms of assistance;

· Investigating incidents related to student behavior and implementing disciplinary measures;

Examples of when we may share or disclose your personal information to others include:

· Posting class lists and schedules in school bulletin boards or other locations within the campus;

· Sharing information with individuals, including parents, guardians, or next of kin, as required by law or on a need-to-know basis as determined by the school, to promote your best interests or protect your health, safety, and security, or that of others;

· Providing academic institutions, companies, government agencies, private or public corporations, or the like, upon request, with academic ranking information or certifications of good moral character for admission purposes;

· Sharing information with potential donors, funders, or benefactors for scholarship, grant, and other forms of assistance purposes;

· Distributing the list of graduates and awardees during commencement exercises;

· Reporting and/or disclosing information to the NPC and other government bodies or agencies (e.g. Commission on Higher Education, Department of Education);

· Sharing information for accreditation and university ranking purposes (e.g. Philippine Accrediting Association of Schools, Colleges and Universities);

· Responding to inquiries to verify that you are a bona fide student or graduate of the school;

· Conducting research or surveys for institutional development purposes;

· Sharing your directory information with the school's alumni association;

· Using your personal information for purposes other than our legitimate interests;

· Publishing academic, co-curricular, and extracurricular achievements and successes, including honors lists and names of awardees on school bulletin boards, websites, social media sites, and publications;

· Sharing your academic accomplishments, honors, and co-curricular or extracurricular achievements with schools you graduated from or were previously enrolled in, upon request;

· Marketing or advertising to promote the school, including its activities and events, through photos, videos, brochures, website postings, newspaper advertisements, physical and electronic bulletin boards, and other media;

· Publishing communications with journalistic content, such as news information, in CdM publications, social media sites, and news and media organizations
